As we continue to update and enhance OASIS, there has been some instructional content changes in the platform and the service desk that are being implemented as a result of the fee structure adjustments made last November.
Please review the following OASIS Knowledgebase sections with updated content: New Certificate – Manage & Audits – IAQG & New Version of Existing Certificate (certificate modification) – Manage & Audits – IAQG. Additionally, a new section, Certificate Billing – Manage & Audits – IAQG, has been added to clarify how CBs are billed for certificate uploads.
Be aware the billing options drop-down during the certificate creation has been updated and should be reviewed carefully and selected appropriately for every certificate finalized.
Below are several tips below to review and reference to help with avoiding errors and unnecessary fees, and ensuring data quality.
- For each certificate you upload, include all applicable sites, the complete scope, and NA Clauses pertaining to the certification. Once a certificate is published, it serves as the only current and updated record for that certification against the standard.
- Certificates should not be updated outside the workflow unless it involves a correction, mass transfer, or another event that does not result in an applicable audit event performed by the CB leading to this update. For instance, a certificate is uploaded for a recertification audit. Later, a spelling error is found in the scope or a non-applicable clause was misidentified, etc. Changes in properly audited sites to correct previous certificates are permissible outside the workflow but should be identified as certificate modifications if they were not previously.
- For OASIS to appropriately include the operation’s scopes and sites, all certificates must be linked to an audit order. Any certificates uploaded previously without an audit citation should be updated as soon as possible. Otherwise, the certification for these suppliers will not display appropriately in the system.
- Only one certificate per standard should be finalized at a time. Certification Bodies must disable or unpublish old or superseded versions immediately after finalizing a new one.
- Only data on finalized certificates appears in Search and Track. Certification Bodies (CBs) must ensure they finalize their uploads in addition to uploading. This will publish the data to Search and Track, triggering billing events.
- The system assumes that the certified entity or primary record is the central function unless one or more sites hold this designation in the additional sites area.
